We only collect information you choose to give us, plus the small amount of technical information needed to run the site.

Our lawful bases are our legitimate interests in replying to enquiries and running our business, taking steps you ask for before entering into a contract, performing a contract with partners, and your consent where you start the voice assistant. The forms ask you to agree before you send them.

To stop repeated or automated sign-up and login attempts, the partner area briefly records request counts, which can include your IP address.

Who we share it with

We do not sell your information. We use these service providers to run the website:

  • FormSubmit delivers form submissions to our email inbox.
  • Cloudflare hosts the website and stores partner accounts.
  • ElevenLabs runs the voice assistant. Voice chats are handled by ElevenLabs, and transcripts are kept for 90 days.
  • Google Fonts and jsDelivr serve fonts and code to your browser, so they receive your IP address when a page loads.
  • Our email provider, which holds the emails we receive and send.

Some of these providers may process information outside the UK. Where they do, we rely on the safeguards UK data protection law allows. We may also share information if the law requires it.

How long we keep it

We keep enquiries and partner account information only for as long as we need them for the purposes above, then delete them. Request counts used to limit sign-up attempts are kept for a short time only. If you would like us to delete your information sooner, email us.

Cookies and your browser’s storage

We set one cookie, wc_partner, and only when a partner signs in. It is strictly necessary to keep you signed in to the partner area, applies only to that area, and lasts 14 days. The interactive checklists on some pages save your ticks in your own browser’s local storage; they are not sent to us, and you can clear them at any time. We do not use analytics or advertising cookies.

Your rights

Under UK data protection law (the UK GDPR and the Data Protection Act 2018) you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct it
  • ask us to delete it
  • ask us to restrict how we use it, or object to our use of it
  • ask for your information in a portable format
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email office@woodcock.ai. We will normally reply within one month.

Complaints

Please contact us first so we can try to put things right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator for data protection, at ico.org.uk/make-a-complaint.

Changes to this notice

We will update this notice if the way we use information changes, and change the date at the top. See also our website terms.
